Exporting and Sharing Your Presentation

Your presentation is ready—now learn how to get it in front of your audience. Export to PowerPoint, create PDFs, or present directly from Outline.

Presenting Directly from Outline

The fastest way to present is using Outline's built-in presentation mode.

  1. Open your presentation in the editor
  2. Click Present in the top toolbar
  3. Your presentation opens in fullscreen
  4. Use arrow keys or click to advance slides
  5. Press Escape to exit

Keyboard shortcuts:

  • or Space: Next slide
  • : Previous slide
  • Escape: Exit presentation mode
  • F: Toggle fullscreen

Result: Clean, distraction-free presenting with no export needed.

Exporting to PowerPoint

Export to PowerPoint when you need offline access or compatibility with Microsoft tools.

  1. Click Export in the top toolbar
  2. Select PowerPoint (.pptx)
  3. Your presentation downloads in seconds
  4. Open in PowerPoint, Keynote, or Google Slides

What transfers:

  • All slides and content
  • Text formatting and styles
  • Images and graphics
  • Slide layouts

What to know:

  • Fonts may change based on what's installed locally
  • Some advanced layouts simplify for compatibility
  • Animations are not included (coming soon)

Tip: Export early in your workflow if PowerPoint is your final destination. This lets you catch any compatibility issues.

Exporting to PDF

PDFs are perfect for sharing read-only versions or printing.

  1. Click Export in the top toolbar
  2. Select PDF
  3. Choose quality: Standard (smaller file) or High (better for printing)
  4. Your PDF downloads immediately

Use PDFs when:

  • Sending to people who won't present it
  • Creating handouts or reference materials
  • Archiving final versions
  • Sharing via email or chat

Result: A portable, professional document that looks identical on all devices.

Sharing a Link

Share presentations without exporting files.

  1. Click Share in the top toolbar
  2. Toggle Public Link to on
  3. Copy the link that appears
  4. Send it to anyone via email, chat, or social media

Recipients can:

  • View your presentation in their browser
  • Present it directly (no download needed)
  • See updates when you edit (link stays current)

Privacy controls:

  • Turn off the public link anytime to revoke access
  • Links expire after 30 days of inactivity (configurable)
  • View-only by default—no one can edit your original

Tip: Use link sharing for quick reviews and feedback. It's faster than email attachments and always shows the latest version.

Downloading All Assets

Get all images and resources from your presentation.

  1. Click Export in the top toolbar
  2. Select Download Assets
  3. A zip file downloads with all images
  4. Use these in other documents or marketing materials

What's included:

  • All AI-generated images (high resolution)
  • Any custom uploaded images
  • Theme background images
  • Organized by slide number

Result: Full ownership of all visual assets you created.

Presentation Settings Before Export

Adjust settings for optimal export quality.

Resolution:

  • Standard (1280x720): Good for most uses, smaller files
  • HD (1920x1080): Better for large screens, recommended
  • 4K (3840x2160): Maximum quality for video or large displays

To change:

  1. Go to Presentation Settings
  2. Find Export Quality
  3. Select your preferred resolution
  4. Future exports use this setting

Tip: Higher resolution means larger file sizes. Use Standard for email, HD for presenting, 4K only when necessary.

Collaborating with Team Members

Share editing access with collaborators.

  1. Click Share in the top toolbar
  2. Enter email addresses of team members
  3. Choose permission level: View, Comment, or Edit
  4. Click Send Invites

Permission levels:

  • View: Can see the presentation only
  • Comment: Can add comments and suggestions
  • Edit: Can modify content and settings

Result: Real-time collaboration with automatic saving and conflict resolution.
